There are a few steps in initiating therapy and the first is to make contact. You can inquire directly through the website using the contact button. You are welcome to send an email to drg@embodiedpsych.com. or for a more timely response I can be reached by calling my work cell at 206-618-1108.

The second step is determining whether we are a good fit. Therapy is a deeply personal process and initiating care with the right provider is essential to having a successful outcome. It is important that both you and I feel confident that my practice, policies, and areas of expertise best match your needs. Upon receipt of an inquiry I offer a free phone consultation to answer questions and gather information. This assists in making a decision about whether working together would help you reach your goals.

The third step is completing your profile in my HIPAA protected client portal. Upon agreeing that we are a good fit, you will receive an email from me with a link to the client portal. Following this link you will be prompted to enter demographic information and billing information. You will then be given both a document outlining my policies and practices and a document outlining your rights and responsibilities as my patient. Lastly you will be asked to sign both a document giving me your informed consent to treat you and a consent form for that treatment occur via telehealth. I am happy to be available to answer any questions or concerns about what you read before your initial appointment. I ask that this process is completed soon after receiving the emailed link, as I cannot conduct the initial appointment without this information.

The second step is finding a time that works for both of us. I often book out far in advance so if you are considering scheduling with me I encourage you to book your reading as quickly as possible. Once we decide on a day and time you will receive an email from me with a zoom link and meeting ID that you will use to join our scheduled reading.

The third step is responding to an email where I will ask you to provide me with the following information:

• Date of birth
• Place of birth (city and state)
• Time of birth (including minutes)
• Any questions or issues you would like me to focus on during your reading

Similar to scheduling an initial consult for therapy, if I don’t receive this information we cannot go through with our scheduled reading.

Lastly It is your responsibility to remember your scheduled appointment and I do not send out email reminders for astrology readings. Since readings are often scheduled far in advance I suggest creating an alert on your smartphone to remind you of our upcoming appointment.

Approximately 72 Hours before your scheduled appointment you will receive an emailed reminder that includes a link. The first time you follow this link you will be prompted to download free software for the Simple Practice telehealth Platform. Once downloaded you will be automatically logged in and your appointment will begin. Subsequent links sent will take you straight to your appointment.

The initial consultation (intake) lasts approximately 55 minutes. Instead of asking my patients to fill out a burdensome intake form, I generally complete this collaboratively during the first 1-2 appointments. This process includes an in depth clinical interview where I collect extensive background information, discuss your reasons for seeking treatment, and identify your specific goals. Upon conclusion and before our next appointment I settle on a working diagnosis and create a detailed treatment plan to address your needs and goals. During the following appointment I discus this diagnosis, the different services I offer, and my first impressions of how best to treat your symptoms and achieve your goals.

Before your appointment you will receive a copy of your birth chart, another copy of the birth chart with a grid detailing the aspects within the chart, and a fact sheet explaining the symbols depicted in both the chart and grid.

When it comes time for your appointment you will log into zoom using the link or meeting ID. The reading itself will take approximately 75minutes. A detailed description of what the initial reading entails can be found on the Astrology page under the Services tab. The reading will be recorded and upon conclusion an audio file will be sent to you as well as a list of the salient points covered.

While I currently do not take insurance, I do provide superbills that can be used for partial reimbursement from your insurance carrier for Out-Of-Network (OON) providers. These superbills are autogenerated on the 10th of each month and can be downloaded directly from the client portal. The out-of-pocket cost for the initial consultation is $260 and subsequent 55 minute therapy sessions are $130.

When you complete your initial intake paperwork, you will be asked to provide a debit or credit card number to cover the cost of care. I accept debit cards or credit cards only as this ensures all monetary exchanges are documented and easy to track through the client portal. This information is entered into a HIPAA compliant encrypted electronic medical records program that manages billing. In your treatment contract, you will be asked to authorize Embodied Psychology to take payments whenever necessary.

At the end of each day, any appointments that transpired over the course of that day are billed to the card you have on file. These charges will usually hit your account between 24-48 hours after they are billed, however they usually go through instantly. Billing is done automatically through the client portalclient portal, and thus you would not be contacted for permission to take payments. Statements (for each payment) and superbills (covering all payments that occurred the month prior) are automatically generated in the client portal and available for your review at any time. I am always happy to discuss questions or concerns about billing.

A Venmo account address will be collected when readings are booked and you will receive a request for the corresponding fee at the conclusion of your reading. Gift cards are billed prior to readings via Venmo.

I am bound by the federal HIPAA (Health Insurance Portability and Accountability Act) laws that strictly protect your Personal Health Information (PHI). This includes information about what you discuss in therapy, any paperwork you complete, information about you or your appointments, and even the fact that you are a client at Embodied Psychology. I am not allowed to disclose this information to anyone without your written permission except in a few circumstances. These exceptions are as follows:

• Suspected child abuse, dependent adult abuse, or elder abuse
• If a client threatens to harm anyone else confidentiality may be broken to ensure safety.
• If a client intends to harm him/her/themselves and is planning/committed to act, confidentiality may be broken to ensure safety
• Necessary coordination of care between providers

While I am not bound by federal laws when providing an astrology reading, I treat the privacy of the individuals receiving readings with the same respect I show my therapy clients. This includes password protecting files I send over email, storing relevant documents within double locked files, and using platforms for readings and billing that are HIPAA compliant and electronically encrypted.

I value the opportunity to meet and include important people from your life into your therapy. If you decide to invite an important person into your therapy, then you will be asked to sign a Release of Information (ROI) detailing who you are giving me permission to speak with. We may also discuss any limits to what you would like to be disclosed.

Furthermore, it is often necessary to sign an ROI for other providers such as primary care physicians, pediatricians, psychiatrists, psychiatric nurse practitioners, etcetera. This supports both the coordination of your care and the efficacy of treatment.

As stated on the astrology page under the services tab, readings can be done for individuals, pairs, and groups. Descriptions of the varied types of readings are included on that page as well.

Therapy works best when scheduled appointments are regularly kept. If you need to cancel an appointment, it is important that you let me know as soon as possible. Alternative appointments will be offered, if available.

If you do not show up for your scheduled therapy appointment or you have not notified me at least 48 hours in advance, you will incur a cancellation fee. No-shows and late-cancellations are billed at the rate of $130.

Because I often book out far in advance, I have a more strict cancellation policy. If you do not show up for your scheduled reading or you have not notified me at least 96 hours in advance, you will incur a cancellation fee. No-shows and late-cancellations are billed at the full rate of the reading.

I will respond to messages and phone calls as soon as possible. However, I do not provide crisis or emergency services. If you are experiencing a life threatening crisis and require immediate assistance, dial 9-1-1, or go directly to your nearest emergency room.
